Helpful Hints for office Moves
Always check with your building as to hours they allow moving.
Most buildings allow moving before 8AM and after 5PM on
weekdays. Saturday all day and Sunday by requests. Keep in mind
that elevators and access doors often shut down at 6PM and
during the weekends for security after 9/11 must places require
key cards for access. Find out before you move a avoid the
moving crew being locked out or in during the move.
Certificate of Insurance most buildings require them. Simply ask
the building management if so, the form you need for the Moving
Company is a REQUEST FOR A CERTIFICATE OF INSURANCE. This can
forwarded to your mover who will forward it to the insurance
company who sends it back to the building.
Access form is to be filled out by the customer for the
building. This form let's security and the building know your
company has authorized removal of property and let's the office
plan guard staffing if needed.
Proper Planning make sure there's a floor plan and use it. Give
each office a number not a name. Draw maps as to how set up the
office furniture so the movers only bother you on the final
touches.
When packing fill boxes to top and label the sides with numbers.
Used proper boxes, medium moving boxes are the wrong size for
paper items. O&I cartons, book cartons are the best size. If
your on a budget use record storage boxes or bankers boxes. Stay
away from double record storage boxes (100lbs plus) If a box is
to heavy for you then it's over weight.
Lateral Files that are over 2 drawers tall should be packed in
boxes. The files will not take the weight of all that paper in a
3,4,5 plus drawer file. Vertical files are OK .
Computers, faxes, phones and IT equipment are to be disconnected
and packed before the crew starts. There should be no wires for
the movers to disconnect. Your company should be working with IT
people on this. If your company needs an IT person we can refer
you. The IT people should be there at the end of the move to
work with the movers plugging stuff back in, other wise you'll
be calling Inside Moves Monday morning.
